AIMS ("we", "our", "us") provides insurance management software for organizations and their authorized users. This Privacy Policy explains how we collect, use, and share information when you use the AIMS website, web application, and mobile app. The service is intended for people 18 and older. Workspaces and organizations
Each insurer or organization is registered in a tenant registry and receives its own workspace. Data in one workspace is kept separate from other organizations. Your organization decides what insurance and member information is stored in its workspace. We process that information to provide the service. If we receive a request about records inside a workspace, we refer it to that organization’s administrator unless the law requires us to respond directly.
Information we collect
- Account information you provide, such as your name, username, email address, and password.
- Organization and role information, including the company you belong to and the access your administrator assigns.
- Insurance operations data you create or work with, such as policies, claims, documents, and related records.
- Camera and photo data when you use the mobile app or camera-based features to capture documents or images for workflows. We do not access the camera in the background.
- Device and notification data, including push notification tokens when you allow notifications on mobile.
- Technical information needed to sign you in, keep the service secure, and diagnose failures, such as session data and basic request logs.
How we use your information
- To provide underwriting, policy, claims, accounting, and related insurance management features.
- To authenticate you and limit access to your organization’s workspace.
- To send notifications you have allowed about activity in the app.
- To process uploads and user-submitted records.
- To maintain security, reliability, and legal compliance.
Where your data is stored
Workspace data is hosted for your organization as part of operating the service. Some service providers may process information in other countries when required to deliver the product.
Data sharing
We do not sell personal information. Information may be shared with:
- Other users in your organization, according to the roles and permissions your administrator assigns.
- Service providers that operate the product on our behalf, such as hosting and notification services.
- Regulators, authorities, or other parties when required by law, or when needed to protect the rights, safety, and security of users and the service.
Cookies and sign-in
The website uses session cookies to keep you signed in.
Data security
We use reasonable technical and organizational safeguards to protect data against unauthorized access, disclosure, or misuse. Access to an organization’s records is limited to authenticated users that organization authorizes. More detail is on the Security page.
Data retention
We retain information for as long as your organization keeps the account and records, and for as long as needed for security, legal, insurance, and operational purposes. Push notification tokens are removed or deactivated when they are no longer valid.
Your choices
You can turn off camera and notification permissions in your device settings. Turning a permission off limits the feature that depends on it. You can ask your organization administrator to update or remove your access.

Your rights
You can ask us for access to, correction of, or deletion of your personal information by emailing creatingaspectsllc@gmail.com. For records inside a workspace, we may refer you to your organization’s administrator. If you are not satisfied with our response, you can complain to your local data protection authority.

We may update this policy by posting a new version on this page. The date above is the current version.
